Overview

SmokingOn helps travellers discover smoking-related destination guidance and, where available, researched SmokingOn Collection accommodation. You may create an account to save preferences, browse guides, and use optional product features. SmokingOn may also offer optional assisted-booking or concierge services. These are separate from ordinary guide browsing and account use. This policy describes how we handle personal and technical information when you use our website, create an account, submit forms, or communicate with us.

Information we collect — ordinary guide and account use

When you browse guides, use discovery features, create an account, apply as a host, or contact us through ordinary public surfaces, we may process:

• Account and contact information where you create an account or provide an email address, name, or communication preferences.
• Saved travel preferences and saved smoking preferences associated with your account, where you choose to store them. Some optional preferences, such as indicating that you use cannabis for medical purposes, may reveal health-related information. We process this information only where you choose to provide or save it and use it to support the relevant SmokingOn preference or optional service functionality.
• Communication and marketing choices you set in account or notification settings.
• Correspondence with SmokingOn, including emails, the website contact form, and support messages.
• Host / SmokingOn Collection applications and related property or contact details you submit when applying to list or verify accommodation.
• Technical and usage information such as device/browser characteristics, service logs, and diagnostics needed to operate and secure the site.
• Destination and geography labels you search or select as travel destination data (for example a city you are researching). That destination data is not treated as your physical location merely because you searched or selected it.
• Optional analytics events when Google Analytics is enabled and you have consented where consent is required by this site's cookie controls.
• Authentication and security processing needed to sign you in and protect accounts (including Firebase Authentication browser persistence when you use sign-in).

Optional assisted-booking / concierge processing

If you choose to use an assisted-booking or concierge service, we may process additional information needed for that service. The following categories apply only when you actually use it, not to ordinary guide visitors:

• Destination, travel dates, and party size.
• Accommodation requirements, budget signals, and smoking requirements.
• Free-text notes or special requests you submit.
• Property and host correspondence where we contact accommodation providers on your behalf to verify arrangements or coordinate a stay.
• Booking coordination information for that optional workflow.

Where you use optional assisted-booking or concierge features, message text and request context may be processed by an AI service provider to help interpret requests, structure information, or draft responses. This processing does not apply merely because you browse SmokingOn guides.

Commercial outbound click measurement

When you follow certain accommodation or referral links through SmokingOn's commercial redirect, SmokingOn may record a minimal server-side outbound commercial event (stored as a commercial click record). Typical fields include time, guide or publication context, destination or geography labels associated with the guide, product context, provider, CTA placement or type, property identifier where applicable, and whether the link is affiliate or non-affiliate.

That event is designed for commercial measurement with data minimisation. For this analytics purpose it is not intended to include your name, email address, full account profile, smoking preference, medical or recreational cannabis preference, raw IP address or device fingerprint as identity, or the raw external URL as a semantic identity field. This server-side ledger is not itself a browser cookie or client-side tracker. After you leave SmokingOn, the destination booking platform may set its own cookies under its own policies.

How we use information

• To publish and operate destination guides, discovery surfaces, and SmokingOn Collection presentation where inventory exists.
• To operate accounts, notifications, host applications, and customer support.
• Where you use optional assisted-booking or concierge features: to assess requests, contact properties, and coordinate arrangements.
• To measure outbound commercial link usage via the server-side commercial click ledger.
• To improve service quality, security, fraud prevention, and legal compliance.
• To use AI-assisted research and structured processing to organize property and destination information, subject to human review before operational use where applicable.
• Where Google Analytics 4 is configured and permitted by your consent choice: to understand website usage.

Service providers

We use infrastructure and service providers to operate SmokingOn. Categories that may apply depending on configuration and the features you use include:

• Hosting and application infrastructure for the website and APIs.
• Authentication providers (Firebase Authentication) when you create or use an account.
• Email delivery providers for transactional or support messages where configured.
• Analytics providers (Google Analytics 4) only when Google Analytics is enabled and, where this site requires it, you have consented.
• Maps or places tooling used primarily in operator/admin workflows when configured — not as a default public traveller map experience.
• Where optional payment functionality is used (for example retained concierge or fee flows): payment processors handle payment details; SmokingOn does not store full card numbers where card processing is used.
• AI service providers (currently OpenAI) where optional concierge/request interpretation or drafting is used.

Third-party online travel agency (OTA) or referral platforms you reach through outbound links are separate controllers for their own booking and payment processing. SmokingOn is not the merchant of record for those ordinary third-party bookings unless a separate SmokingOn-specific arrangement expressly says otherwise.

Retention and security

We retain information for as long as needed to operate the service, meet legal obligations, resolve disputes, and maintain audit records for verification workflows. Retention depends on the type of information, why we process it, account or service status, legal obligations, security needs and audit requirements. In practice we distinguish, among other classes: account and profile information; host applications and property verification evidence; correspondence; commercial click analytics records; security and service logs; and booking or financial records where optional concierge or payment functionality is used. We apply administrative, technical, and organizational measures appropriate to the nature of the data we process.

International processing

SmokingOn may process information in countries other than your own because our infrastructure and service providers operate internationally. Where required, we use appropriate safeguards for cross-border transfers.

Your choices and rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing, and to withdraw consent where processing is consent-based. Optional analytics can be declined through the analytics consent controls when Google Analytics is configured. To exercise privacy rights, contact us at privacy@smokingon.com.
